Terms & Conditions

• Participation is open to students of any school, college or university — not just SRM IST. Every participant must carry a valid school or college ID on both event days.
• Teams may have a maximum of 4 members, including the team captain. A participant may not be a member of more than one team for the same event.
• The team captain is the account holder: all official communication (verification results, login credentials, event updates) goes to the captain's registered email and phone number.
• The organisers may ask for proof of identity or student status at any time and may refuse entry where it cannot be provided.

• You must provide accurate, complete and current information during registration. Registrations containing false or misleading details may be rejected or cancelled without refund.
• Team names must not be offensive, misleading or infringe anyone else's rights. The organisers may require a rename.
• Event capacity is limited — 15 teams per main event and 25 teams per sub event, allotted on a first-come, first-served basis. A slot is held from the moment a registration is submitted; if an event is full, new registrations for it are declined.
• After your payment is verified you receive a User ID by email. You are responsible for keeping your User ID and password confidential and for all activity on your account. Use the forgot-password flow if you lose access.
• Accounts and registrations are not transferable to another team or person without the organisers' written consent.

• Registration fees are charged per team, per event package, at the prices displayed on the registration page at the time of submission.
• Early-bird pricing and combo discounts apply only to registrations submitted on or before 22 August 2026, 11:59 PM IST. From 23 August 2026, regular pricing applies and combo discounts are withdrawn.
• Payment is made by UPI transfer before submitting the form. You must upload a genuine screenshot of the successful transaction along with the UPI reference (UTR) number and payer name.
• The payable amount is computed and validated by the organisers' systems. In case of any discrepancy between an amount shown by your device and the official price, the official computation prevails; the organisers will contact you to resolve any underpayment or overpayment.
• Submitting a forged, edited or reused payment screenshot is grounds for immediate rejection and disqualification from this and future AI Robo Lab events.

• Every payment is manually verified by the organising team. Until verification, your registration status remains "submitted" and your slot is provisionally held.
• If your payment is verified, your team is confirmed and your login credentials are emailed to the captain from noreply@roborush.in. Add this address to your contacts so the mail is not lost to spam.
• If your payment is rejected, the captain receives an email stating the reason. A rejected registration releases its slot and any issued credentials stop working. You may register again (subject to availability) after resolving the issue, or contact us via the query form.
• Verification decisions are made in good faith on the evidence submitted; the organisers' decision on the validity of a payment is final.

• Registration fees are non-refundable and non-transferable once a payment has been verified, including where a team later withdraws, fails to attend, or is disqualified for breaching these terms.
• If a payment was made but the registration is rejected (for example, an event filled up before verification, or a duplicate payment), contact the organisers via the query form with your UTR number — genuine cases will be refunded to the source account.
• If the organisers cancel the event entirely, verified registration fees will be refunded in full. If the event is rescheduled or moved, registrations carry over automatically; teams unable to attend the new date may request a refund within 7 days of the announcement.
• The organisers are not responsible for amounts sent to a wrong UPI ID or for bank-side failures; such issues must be taken up with your bank or UPI provider.

• Each event is governed by its official rulebook (robot size, weight, power and safety limits, match format). The rulebook, once published, forms part of these terms; where they differ on gameplay matters, the rulebook prevails.
• The competition runs across both days (28–29 September 2026) — qualifying and knockouts on Day 1, semifinals, finals and the prize ceremony on Day 2. Teams must be present on both days; absence at a scheduled match is a walkover.
• Decisions of the judges, referees and event marshals are final and binding on all gameplay, scoring and disqualification matters.
• Cheating, deliberately damaging another team's robot, tampering with arenas or timing systems, harassment, or unsafe behaviour will result in immediate disqualification without refund and, where warranted, removal from the venue.
• Submitting forged, altered or fake documents of any kind — payment screenshots, student IDs, identity proofs, or any other document — results in immediate disqualification without refund, cancellation of the team's registration, and a bar from future AI Robo Lab events.
• Participants must follow all SRM IST campus regulations and the instructions of event staff and campus security at all times.

• Teams bring and are fully responsible for their own robots, spare parts, tools, batteries and chargers. The organisers do not supply, store overnight, or insure participant equipment.
• All robots must pass safety and specification checks before competing. Robots that fail checks may be barred from the arena until brought into compliance.
• Hazardous items — flames, liquids, projectiles not sanctioned by an event's rulebook, or damaged/swollen batteries — are prohibited at the venue.
• Teams are liable for damage they cause to the venue, the arenas, or other people's property through negligence or rule-breaking.

• The announced prize pool for ROBO RUSH AI 2026 totals ₹1,50,000 across all events, awarded at the Day 2 ceremony.
• What the pool is made of. The ₹1,50,000 is the total value of the prize pool, not a cash-only figure. It consists of cash prizes together with in-kind awards — including vouchers, internship opportunities, and access to AI Robo Lab equipment. The cash component and the non-cash component of each award, and how they are split between events and placings, are determined by the organisers and announced with the final prize schedule. Advertised totals are indicative until then.
• The split of the pool between events and placings is published by the organisers and may be adjusted before the event begins (for example, if an event is cancelled for low participation).
• Prizes are awarded to the registered team; distribution among members is the team's own responsibility. Winning teams must be present at the ceremony with valid ID to claim.
• Any taxes applicable on prize money are the responsibility of the recipients under Indian law.

This is a summary — the full Privacy Policy is the controlling document on privacy matters. To run the event we collect and store the details you submit at registration:

• Team name, college, and each member's name; the captain's email, phone number and password (passwords are stored only as salted cryptographic hashes — we cannot read them).
• Your payment proof — the screenshot you upload, the UPI reference number and payer name — kept solely to verify the transaction.
• Enquiries you send through the contact form.

How it is used and protected:

• Your data is used only to administer ROBO RUSH AI 2026 — verifying payments, issuing credentials, sending event communication, and running the event. It is never sold or shared for marketing.
• The site and its data run on Cloudflare infrastructure (hosting, database, file storage, and Turnstile bot-protection on forms); transactional email is delivered via Resend. These processors handle data solely on our behalf.
• All traffic is encrypted (HTTPS). Access to registration data is restricted to the organising team's administrators.
• Registration data and payment proofs are retained for the event cycle and reasonable record-keeping afterwards, then deleted. To ask about or request deletion of your data, use the query form.

• The event is photographed, filmed and may be live-streamed. By attending, you consent to the organisers using footage and images that include you, your team and your robot for event coverage, archives and promotion of AI Robo Lab and SRM IST activities, without payment.
• Team names, college names, scores and results may be published on the website, leaderboards, and social media.
• If you have a specific concern about appearing in published media, raise it with the organisers at the event desk.

• Participation is at your own risk. Robotics competitions involve moving machinery, batteries and tools; participants are expected to act with reasonable care.
• To the maximum extent permitted by law, the organisers, AI Robo Lab, CINTEL and SRM IST are not liable for personal injury caused by a participant's own negligence, or for loss, theft or damage of participant equipment and belongings at the venue.
• The organisers are not liable for costs you incur (travel, accommodation, robot parts) if the event is rescheduled, altered or cancelled for reasons beyond their reasonable control — including weather, utility failures, institutional directives, or other force-majeure events. In such cases the refund terms of clause 05 apply.
• Nothing in these terms excludes liability that cannot be excluded under Indian law.

• The organisers may update these terms, the event schedule, formats and rulebooks. Material changes will be posted on this page (with an updated effective date) and significant ones notified to registered captains by email or WhatsApp.
• Continued participation after a change takes effect constitutes acceptance of the updated terms.
• If any clause of these terms is held unenforceable, the remaining clauses continue in full effect.

• These terms are governed by the laws of India. Any dispute is subject to the jurisdiction of the courts at Chengalpattu district, Tamil Nadu.
